Event Prep

How do I register?

If you only plan to attend RMECC to present your session, you do NOT need to register for the event. We will add you, and you will still check in and get a name tag when you arrive.

If you indicated in your proposal that you'd like to attend other sessions and meals, please refer to the speaker email sent on 11/22/24 which includes a discount code to use during our registration checkout. If you wish to pay for the second day and attend the event both days, you're welcome to do so. The code will remove the cost of one day. Please contact info@rmecconference.com if you did not receive this registration email and we will resend it to you. Early bird pricing ends February 10th at 11:59 pm, and the final day to register for the event is February 24th at 11:59PM.

Can I promote my session?

Definitely! We'd love your help spreading the word about RMECC and welcoming new people to the event. Please note however, that only people who are registered for the event can attend your session.

Here is a promotion toolkit with some sample language and graphics.

What is the Speaker Resource Center?

The Speaker Resource center is where you can see your session time/location, update your speaker photo or bio, and upload any materials that you would like attendees to be able to access.

Click this link in order to access the Speaker Resource Center login. Please note that you must login with the same email address you used to submit your proposal.

I forgot about the details of my proposal, can I get a copy?

Yes! Please email us at info@rmecconference.com, and we will happily email you a copy of the details of your proposal.

What will I need for my presentation?

Slides and Session Credit

We do not require you to create or use your own slides if your presentation does not require them, however we do ask that you show the RMECC bookend slides.

Please be sure to have the first one up as people walk into the session and the second one up at least 5 minutes prior to the end of the session. In order for attendees to get credit for the session, they MUST scan the QR code on the screen from the session in the event app, or type in the check in code BEFORE the session ending time when the app check in will automatically close. Each of theQR codes/check in codes is unique to the session, so please don’t share your slides with anyone who is not an attendee of the session.

Attendees who do not have a smart phone or do not want to use the app, can write down the code for each session and turn it into the information desk.

Bookend slides will be individually emailed to each presenter. Watch for an email from Shylah Webb (shylah@townbellmktg.com) with those slides.

Laptop Computer

Each speaker is required to bring their own laptop containing at least the bookend  slides and any other slides or materials they're using for the session. A screen, projector, HDMI cable, and 1 handheld microphone (in larger rooms where necessary) will be provided in each breakout space.

If your presentation requires AV beyond an LCD projector and 1 hand held microphone, please reach out to info@rmecconference.com. Please note you may be financially responsible for any additions.

Handout Materials

RMECC does not provide any materials or handouts to attendees. Presenters are responsible for uploading and/or bringing anything they would like attendees to have or use as part of the session.

Wi-Fi Access

Please be sure to login in with complimentary Wi-Fi provided by the venue. These details will be printed on the back of your name tag.

Event Day

What time should I arrive at the venue?

If you're attending the event in addition to presenting, check in opens at 7 am each day. If you're only attending to present, please arrive at least 45 minutes before your session to find parking, check in at the desk for your name tag, and get set up for your sessions. Please be at your session room 15 minutes prior to the session start time in order to get set up and allow time for technical assistance if needed.

Where should I go once I arrive?

If you enter through the main lobby doors by the front desk, go left down the hall and you will see the RMECC registration and info desks. If you enter through the Pint Brothers Restaurant doors, you will see the RMECC desks just to the right.

How long are the sessions?

Each session is 75 minutes, giving the speakers 60 minutes to present and 15 minutes to provide Q&A and allow attendees to check in on the app by scanning the QR code or entering the code on the last slide.

In an effort to provide more equitable access we will be recording the audio and slides at some of the sessions and offering virtual access for 6 weeks after the event. If your session is being recorded we will reach out to you.

What is the dress code?

We recommend dressing in business casual attire to maintain a professional yet comfortable appearance. Since Colorado weather in March can be unpredictable, it’s a good idea to dress in layers so you can adjust to varying temperatures throughout the day. Additionally, comfortable shoes are suggested as you may be walking far distances and be on your feet for long periods of time.

Will meals be included?

If you wish to join us for breakfast and lunch, you must be a registered participant of the conference.

If you indicated in your proposal that you'd like to attend other sessions and meals, please refer to the speaker email sent on 11/22/24 which includes a discount code to use to register for one day of the event. If you wish to pay for the second day and attend the event both days, you're welcome to do so. The code will remove the cost of one day. Please contact info@rmecconference.com if you did not receive this registration email and we will resend it to you.

Can I attend other sessions?

Like meals, you will need to be a registered participant of the conference to attend sessions other than your own.

What if I have technical issues before or during my presentation?

Our partnered AV team is dedicated to a flawless experience while presenting your session. Should you run into any issues connecting to the Wi-Fi, linking your laptop to the projector, using the microphone or otherwise, please call our team on the number provided in each room. You can also alert an RMECC hallway associate who will get you in touch with a technician, or if you do not see an RMECC associate, please report to the event check-in desk.
